Is custom software not much more expensive?
Compare it properly before deciding. Add up every subscription, every per-seat fee that grows as you hire, every add-on, and the hours people spend moving data between tools. Most businesses we build for were already spending five figures a year on software that half fitted, plus a person’s worth of admin time bridging the gaps.
How long does it take?
You will have a clickable prototype in your hands inside month one, and a working first module usually 60 to 90 days in. We build in stages rather than disappearing for months on end, so you see value long before the whole thing is finished.
What happens to our existing data?
It comes with you. Migration, deduplication and cleaning are part of the build, not an afterthought, and we run it in parallel so nothing is lost and nothing has to be typed twice. Old systems get switched off one at a time once you trust the new one.
Do we actually own the software?
Yes, entirely. The code, the database, the documentation and the designs are yours, built on mainstream technology any competent developer could pick up. It can be hosted on your own infrastructure if you prefer. Custom software should never mean stuck with us.
Why is this ongoing rather than a fixed project?
Because software is never finished. A system that stops evolving starts holding you back, and the businesses that get the most out of theirs are the ones who keep shaping it. The plan covers new features, integrations, hosting, monitoring and support, so changes are normal work rather than a new quote every time.
Where do AI agents and automations come in?
They are designed in from the start rather than bolted on. Because we build the system itself, the
agents and
automations have proper access to your data and can genuinely finish work rather than poking at an API from outside. That is the real advantage of owning the system.
Can it replace our CRM completely?
Usually, and that is often the point. Off-the-shelf CRMs are built for a generic sales process, which is why yours is half empty. Where a mainstream tool genuinely fits, we will tell you to keep it and connect to it instead. We would rather build the parts that earn their keep.
What if we need to change something later?
That is expected, and it is what the ongoing plan is for. New process, new service line, new integration, a screen that turned out to be wrong. Changes are worked into the roadmap rather than treated as a fresh project with a fresh quote.
What does it cost?
Ongoing work is £2,500 a month part-time or £4,950 full-time, excluding VAT, with a three-month minimum. That covers building, hosting, monitoring, support and continuing development. The blueprint is £2,000 and is credited in full against a six-month retainer if you go ahead within 60 days.
Who hosts it and who keeps it secure?
We do, and it is included.
Hosting, monitoring, backups, updates and security are part of the plan, from a team that is Cyber Essentials Plus certified and has been looking after business-critical systems for over a decade. If you would rather host it yourself, that is fine too.
Will our team actually use it?
They are involved from the mapping stage and they use the prototype before anything is built properly, which is the single biggest reason internal systems succeed or fail. Training is included every month, and if people are not using it we treat that as our problem to fix.
Do you build customer-facing apps too?
Yes. Client portals, booking systems,
trade ordering, membership areas and marketplaces. The advantage of building it as part of your system is that customers see live, real information rather than a copy that has to be kept in step.
