Custom software that makes your business run better

Software that runs how you actually work

We are an AI software development company in the UK. We build one system your business runs on, so the quoting, the jobs, the customers and the reporting stop living in nine different places.

Does this sound like you?

Your business does not run on software.
It runs on workarounds.

We have had this conversation with nearly every business we have built for. It never starts with software. It starts with three small compromises that nobody notices until they are the way the business runs.

A different tool for every job, and none of them talk to each other

You are paying nine subscriptions, and the same customer gets typed into four of them.

A spreadsheet is holding something important together

It works, but one person built it and everyone else is quietly nervous about the day they are off.

You have started changing how you work to suit the software

Somebody says "we would love to, but the system will not let us", and everybody accepts it.

Recognise yourself? The fix is not another tool.

Who bespoke software works for

You are probably ready for this if…

Not every business needs custom software. These are the signs that you do.

Where custom software pays off

Most businesses need two or three of these, not all six

They are built as one system, so the quote that becomes a job becomes an invoice without anyone retyping it.

How we build bespoke software

Four stages, and you see something working in every one

Once the assessment has told us what to build, every project runs the same way. No months of discovery, no strategy deck that sits in a drawer, and nothing you cannot click on.

1

Designed and mapped before anything is built

The designbox team mapping out a client system before it is built

We plan the whole thing on paper first: how your data is structured, how a job moves from one stage to the next, who does what and where the approvals sit. Then we design every screen around it and link them together so you can click through your own process before a line of code exists. Getting it wrong here costs days of work. Getting it wrong later costs a rebuild.

Your processes and data mapped out properly, before any of it is built
Designed around how you already work, not how the software would prefer it
Every design and process agreed with the people who will use it daily
Every integration and handover point worked out before the build starts
Inside month one, on both plans
2

Built in stages, quickest win first

A designbox developer building a bespoke business system

Built in stages you can actually use, with the agents and automations designed in from the start rather than bolted on afterwards. Whatever saves the most time goes live first, usually quoting and pipeline.

Working modules released in stages, not one big launch
Integrations into your CRM, accounts, website and comms
Live reporting from the system itself, with no exports
You use each module as it lands, so feedback shapes the next one
First module live in 60 to 90 days
3

Everyone actually using it

The designbox team walking a client through their new system

The stage that decides whether any of it was worth doing. Whatever you run on now, spreadsheets, a CRM nobody fills in, a shared drive, comes across and gets checked. Then we run the new system alongside the old one until your team trusts it, rather than switching everything off on a Friday and hoping.

Whatever you run on now brought across, tidied up and checked
The new system runs alongside the old until people trust it
Your team trained on their own live data, not a manual
Old tools switched off one at a time, so you can cancel the subscriptions
Alongside the build, not after it
4

Improved every month, never finished

The designbox team reviewing a client system in a monthly session

A system that stops evolving starts holding you back. New processes, new integrations, the client portal you add in month four because customers keep asking, all handled inside the plan rather than quoted as a fresh project every time.

Hosting, monitoring, backups and security, handled
A monthly impact report in plain English
One team training session every month
Full ownership of everything built, with no lock-in
Ongoing, and cancellable

You see it working from week three, and you keep seeing it. The system arrives in stages your team has already used, not as one launch day.

Where every build starts

How it works

01

Discovery

We sit with the people doing the work and record how it actually happens, workarounds included. Your tools, your data, where the time goes.

02

Blueprint

Every opportunity scored on return against effort. A phased, costed roadmap with the quick wins first, written for your business rather than pulled from a template.

03

You get people, not a portal

One account manager who knows your business and who you can actually ring. You never explain yourself twice.

We have been building bespoke software for over a decade

Websites, stores, CRMs and reporting are our day job. Plenty of firms will sell you a build. Far fewer are still answering the phone about it three years later.

Ten years of being accountable

Cyber Essentials certified, a decade of building and running business-critical systems, and clients we started with years ago. AI is new. Answering for the outcome is not.

We will tell you when it is no

Some processes should not be automated and some businesses are not ready. The AI assessment exists so we can say so early.

The people behind your system

We are a small, close-knit team based in Southend-on-Sea. You will speak to us directly from day one, and that is exactly the point.

Owning your software and your data

Your data, your rules, your systems

Two questions come up in every single conversation: what happens to our data, and what happens if we leave. Here are both answers up front.

You own everything we build

The code, the database and the documentation are yours, not licensed back to you
Built on mainstream technology any competent developer could take on
Everything runs on your accounts, so your data stays in your systems
If you leave, you keep the lot and we hand it over properly, documented

No lock-in and no hostage-taking. If we are worth keeping, it will be because the work is good.

Security and control

Cyber Essentials certified, and a decade of handling client systems
Hosted on your own infrastructure if you want it that way
A full audit trail of every change, who made it and when
Roles and permissions, so people only see what they should

Where AI is involved, the model and processing arrangements are covered in writing before anything touches live data, and we go through them in the assessment.

Custom software questions

How much does bespoke software development cost in the UK?
Ongoing development is £2,500 a month part-time or £4,950 full-time, excluding VAT, with a three-month minimum. That covers building, hosting, monitoring, support and continuing development, so there is no separate bill every time something changes. Most bespoke software projects in the UK are quoted as a fixed build in the tens of thousands, then charged again for every change. We price it as a team you retain instead. The AI assessment and strategy that comes first is £995 and is credited back in full if you ask us to deliver any of the work within 90 days.
Is custom software development more expensive than off-the-shelf tools?
Compare it properly before deciding. Add up every subscription, every per-seat fee that grows as you hire, every add-on, and the hours people spend moving data between tools. Most businesses we build bespoke software for were already spending five figures a year on tools that half fitted, plus a person’s worth of admin time bridging the gaps. Custom software replaces that spend rather than adding to it, and the cost stops rising every time you hire someone.
How long does bespoke software development take?
You will have a clickable prototype in your hands inside month one, and a working first module usually 60 to 90 days in. We build in stages rather than disappearing for months, so the first thing that saves you time is live long before the whole system is finished. The AI assessment and strategy beforehand takes about a week and sets the order everything gets built in.
What happens to our existing data when we move to a custom system?
It comes with you. Migration, deduplication and cleaning are part of the build, not an afterthought, and we run the old and new systems in parallel so nothing is lost and nothing has to be typed twice. Old tools get switched off one at a time, once you trust the replacement.
Do we own the software you build for us?
Yes, entirely. The code, the database, the documentation and the designs are yours, built on mainstream technology any competent developer could pick up. It can be hosted on your own infrastructure if you prefer. Bespoke software should never mean being stuck with the agency that built it.
Why is bespoke software an ongoing retainer rather than a fixed project?
Because software is never finished. A system that stops evolving starts holding the business back, and the companies that get the most from theirs are the ones who keep shaping it. The retainer covers new features, integrations, hosting, monitoring and support, so a change is normal work rather than a new quote every time.
How do AI agents and automations fit into custom software?
They are designed in from the start rather than bolted on afterwards. Because we build the system itself, the AI agents and automations have proper access to your data and can finish a piece of work end to end, rather than poking at an API from outside. That is the real advantage of owning the system the AI lives in.
Can custom software replace our CRM completely?
Usually, and that is often the point. Off-the-shelf CRMs are built for a generic sales process, which is why yours is half empty and why people keep a spreadsheet alongside it. Where a mainstream tool genuinely fits we will tell you to keep it and connect to it instead. We would rather build the parts that earn their keep than replace things for the sake of it.
What if we need to change the software later?
That is expected, and it is what the retainer is for. A new process, a new service line, a new integration, or a screen that turned out to be wrong in practice. Changes go into the roadmap rather than being treated as a fresh project with a fresh quote.
Who hosts bespoke software and who keeps it secure?
We do, and it is included in the retainer. Hosting, monitoring, backups, updates and security come from a team that is Cyber Essentials certified and has been running business-critical systems for over a decade. If you would rather host it on your own infrastructure, that is fine and the software is built so you can.
Will our team actually use a custom system?
They are involved from the mapping stage and they use the prototype before anything is built properly, which is the single biggest reason internal systems succeed or fail. Training is included every month. If people are not using it, we treat that as our problem to fix rather than yours.
Do you build customer-facing web applications as well as internal systems?
Yes. Client portals, booking systems, trade ordering, membership areas and marketplaces. The advantage of building a customer-facing app as part of your own system is that customers see live information rather than a copy that has to be kept in step.
What size of business is bespoke software development worth it for?
Typically 10 to 200 people, though it is about complexity rather than headcount. If you are running on several tools that do not talk to each other, paying per seat as you grow, or relying on a spreadsheet nobody dares touch, a custom system will usually pay for itself. The assessment tells you whether it would, before you commit to a build.
How do we start a bespoke software project?
With a AI assessment and strategy and strategy. We spend two to three days inside the business, score every opportunity on what it returns against what it takes to build, and hand you a costed, phased plan. If you would rather talk it through first, book a free 30 minute call.

AI software development and bespoke software, built around your business

designbox is an AI software development company in Southend-on-Sea, Essex, building bespoke software for businesses across the UK. We build the system a business actually runs on: one place for jobs, quotes, customers, stock and reporting, replacing the nine tools that half fit and the spreadsheets nobody dares touch. Custom software development means the software fits your process rather than your team bending round somebody else’s. Bespoke software development in the UK is usually sold as a build and a handover. We do it differently: a blueprint first, a working prototype in your hands early, then a build that starts where the money is, so you see a return before the whole thing is finished. AI is not the product, it is the part that removes the manual work: reading the email, writing the quote, chasing the invoice, flagging the job that is about to slip. As an AI development agency we only add it where it earns its place. Everything we build is yours outright, the data stays yours, and we will tell you honestly when the answer is an off-the-shelf tool rather than a build.
